ENGLISH CERTIFICATES – HELPFUL INFORMATION

PART 1

BACKGROUND

Civil registration began in England and Wales on 1st July 1837
Before the start of civil registration entries for baptisms, marriages and burials can be found in parish registers.

In 1927 civil registration began for adoptions and stillbirths.
The GENERAL REGISTRY OFFICE gives further information on these indexes.

Barbara Dixon’s REGISTRATION WEBPAGE website is very informative about the sort of information that can be found in English BMD certificates:  http://tinyurl.com/mwel4e

WHERE TO ORDER CERTIFICATES FROM

You can order BMD certificates directly from two sources

The GENERAL REGISTRY OFFICE (GRO):  http://tinyurl.com/5wn3h

LOCAL REGISTRY OFFICES

Over the years with the changes in population movement in this country, registration districts have changed names and boundaries so if you are ordering a certificate from a local registry office you will need to check which office it is.

LOCAL REGISTER OFFICES IN ENGLAND AND WALES addresses, phone numbers and emails:  http://tinyurl.com/mylst6

Where a marriage took place in a church and the church has deposited its register you can find these registers at the local county record office. When a marriage took place in a church a copy of the church entry was made and deposited with the local registrar. He then made a copy of that certificate and sent it to the GRO with the copies of the certificates made for births and deaths that were registered at the local registry office.

Some local registrars and local family history societies have indexed the BMDs they hold. You can find them through this website UKBMDhttp://tinyurl.com/me6cmv

THE GRO INDEX

The GRO indexed all the certificates which arrived from the local registry offices into large yearly quarterly ledgers.

MAR (January, February, March)
JUN (April, May, June)
SEPT (July, August, September)
DEC (October, November, December)

To index all the BMDs in England and Wales from 1837 onwards was a massive clerical undertaking all done by hand. Inevitably errors crept into the system. There were no checks when the ledgers were first handwritten, or when as some of them began to fall apart over the years when typed copies were made and the old ledgers thrown away.

Research has been done on the completeness of the GRO indexes for marriage records 1837-1899 – A COMEDY OF ERRORShttp://tinyurl.com/l8288s

The GRO index gives the year and quarter as well as the registration district the event occurred in, not to be confused with church parishes, since all registration districts covered wider areas which contained many churches and places - this webpage gives you the Anglican churches (only) found in 36 LONDON REGISTRATION DISTRICTS, dates and where the parish records are held:  http://tinyurl.com/mgqljj

THE GRO index has a volume number and page number which cross-references to the GRO volumes the certificates are held in. Several certificates are held on each page.

For births the mother’s maiden name (not necessarily the name she married in) appears in the index beginning in the September quarter of 1911.

For marriages the spouses surname appears in the indexes from the March quarter of 1912.

For deaths the age at death was added into the indexes from the June quarter of 1866 and the date of birth from 1969.

ENGLISH CERTIFICATES – HELPFUL INFORMATION

PART 2

ACCESS TO THE GRO INDEX

Volunteers have been transcribing the GRO indexes at FREEBMD.
You can access these transcribed indexes for free at:  http://tinyurl.com/byt93

The work is far from complete for the C20th and FreeBMD have some useful charts to show the coverage so far.
FREEBMD COVERAGE CHARTShttp://tinyurl.com/mmpyjz

As with all transcriptions errors do occur and FreeBMD encourages corrections where errors in the transcriptions are found. Transcribing the GRO marriage indexes has allowed further cross-referencing of marriage partners and highlighted some of the errors in the index for volume and page numbers.   FreeBMD allows you to view the original GRO images transcribed so far.

FreeBMD is only transcribing the ‘domestic’ GRO civil registration indexes for BMD. The overseas indexes which include the military indexes (whether the event took place abroad or not) can be found online at subscription/pay as you view websites

THE NATIONAL ARCHIVES and the GUILDHALL LIBRARY supply useful research guides for BMD (baptisms and burials) which took place at sea and abroad.

FINDING ENTRIES IN THE GRO INDEX

To register a death a cause of death was necessary. This modern example taken from a British newspaper illustrates the difficulties if there is no body found.
BRADFORD TELEGRAPH AND ARGUS 2003:   http://tinyurl.com/kpostd

In the GRO index at the end of each death registration quarter are all the unknown unnamed deaths which were registered with usually only approximate ages.

The GRO index gives the name/s as the clerk deciphered them from the certificate. Spellings of names on certificates can vary because of the levels of literacy of many of the people supplying the information to the officials.

Parents had up to 6 weeks to register the birth of the baby, so the registration could occur in the following quarter to the birth. There were no fines for non-registration of children’s births imposed until 1875. If parents were late registering the birth it is not unknown for them to re-adjust the child’s birth date to avoid paying the fine.

When births were registered it was not a requirement to name the child. Mostly unnamed children had a subsequent death registration in the same quarter but some children particularly in the early registers survived. Children could be registered in their mother’s maiden name if the marriage was ‘delayed’ or as legitimate when they were not, whether a later marriage occurred or not. It was just a matter of bluffing it out with the registrar. There were no real checks in the system until the second half of the C20th. Depending on their circumstances, particularly in the case of those born illegitimately, the details given to the officials and written on certificates may not be completely factually correct. Full names (if remembered) were not necessarily used on marriage or when registering deaths. If the death was not registered by someone who knew the person names and ages may not be correct.  Not every couple chose to get married. Some didn’t because there was an impediment to them marrying, such as the existence of an earlier marriage.

GRO CHECKING SYSTEM

When ordering a certificate from the GRO a check can be requested against relevant details
e.g. for a birth the names of one or both parents.

If any of the references checked do not match, a certificate will not be issued and the GRO will refund part of the fee: http://tinyurl.com/lzv96m

The GRO will issues certificates from the information supplied from the index if the event took place over 50 years ago. If it did not further information is required before a certificate will be issued:  http://tinyurl.com/ml772g
